This Refund and Cancellation Policy outlines the conditions, timelines, and procedures governing refunds, deposit retentions, and engagement rescheduling for professional engineering services rendered by Think Harbor Base Co., Ltd. (“Think Harbor Base,” “we,” “us,” or “our”).

1. Professional Service Nature

Think Harbor Base provides dedicated, human-delivered engineering services—including forensic crash triage audits, stability retainers, telemetry architecture sprints, and memory profiling. Because engagements involve dedicated senior engineer scheduling and time commitments, refunds are governed by the specific project phase and work commenced.

2. Cancellation and Rescheduling Policy

A. Prior to Diagnostic Kick-off (Written Notice > 5 Business Days)

If a client cancels or requests rescheduling of a scheduled Stability Diagnostic Audit or Architecture Sprint more than five (5) business days before the mutually agreed kick-off date:

• Full Refund: Any initial deposit or pre-paid fee is refunded in full, minus any direct international banking or wire transfer processing fees (typically $45–$75 USD).
• Rescheduling: Engagements may be rescheduled to a future available date within 90 days without additional penalty.

B. Late Cancellation (Within 5 Business Days of Kick-off)

If cancellation occurs within five (5) business days prior to scheduled kick-off:

• The initial deposit (typically 30% of the engagement fee) is non-refundable, representing reserved engineer capacity that cannot be reallocated on short notice.
• The remaining balance (if pre-paid) will be refunded promptly.

C. Engagements in Progress (Work Already Started)

Once diagnostic analysis, symbol verification, or codebase ingestion has commenced (Day 1 onwards):

• Fees for completed milestone days are non-refundable.
• If a client terminates an engagement mid-sprint, fees will be calculated pro-rata based on engineer days delivered up to the date of written cancellation notice, and any unearned pre-paid balance will be returned.

3. Crash Triage Retainers (Monthly Terms)

• Notice Period: Monthly retainers require thirty (30) days written notice prior to the start of the next billing cycle to cancel.
• Mid-Month Retainers: Fees for the active monthly cycle are non-refundable once the billing period has commenced, as dedicated on-call and release monitoring capacity is committed.

4. Refund Request Process & Processing Times

1. Submission: Submit formal refund or cancellation requests in writing to info@thinkharborbase.click with the subject line Cancellation & Refund Request: [Engagement Reference].
2. Review & Reconciliation: Our finance and lead engineering team will review the request, calculate milestone deliverables or pro-rata allocations, and respond with an itemized reconciliation within three (3) business days.
3. Disbursement: Approved refunds are issued via original bank wire transfer within seven (7) to ten (10) business days following final reconciliation.
